I have corrected hundreds of work emails from my students over the years, and I can tell you this: German business emails are not creative writing. They follow a fixed anatomy, and once you own the formulas for each part, you can write any work email in ten minutes without fear.

Quick answer
Every German business email has 5 parts: Betreff (subject), Anrede (greeting), Einleitung (one-sentence reason), Hauptteil (request plus deadline), Grußformel (sign-off). Learn one formula per part and reuse it forever. My default opener: ich schreibe Ihnen wegen...

The 5-Part Anatomy of a German Business Email

Think of every email as the same skeleton with different filling. Here is the skeleton I give all my students, with one reusable formula per part:

Part Your Formula Example
Betreff Topic + reference Rückfrage zu Rechnung 2048
Anrede Sehr geehrte Frau X / Sehr geehrter Herr Y Sehr geehrte Frau Müller,

If you got hired with a strong application (my job application guide is the before-you-get-hired counterpart to this post), your daily emails are where you prove your German from week one.

Greeting and Sign-off Without Guesswork

Should you start with Sehr geehrte or Hallo in a German work email?

Default to Sehr geehrte Frau ... / Sehr geehrter Herr ... for every first contact, authority, bank, landlord and unknown reader. You can switch to Guten Tag Frau ... once a friendly thread exists, and to Hallo Frau ... only when colleagues write to you that way first. Plain Hallo without a name stays reserved for people who already offered you the Du.

Two doors symbolizing formal Sie and informal Du address in German
Du plus first name, or Sie plus surname: pick once, then stay consistent.

Is Mit freundlichen Grüßen still the right sign-off?

Yes, it is still the safest closing in Germany. Use Mit freundlichen Grüßen for formal mail, Freundliche Grüße for established contacts, and Viele Grüße only where the Du already rules. The Duden Sprachratgeber confirms the comma rules and formal conventions if you ever doubt the details. Never invent creative closings in business mail. Boring wins.

Formulas for the Trickiest Moments

How do you chase a late reply politely?

My three-step escalator: friendly reminder (ich wollte mich erkundigen, ob meine E-Mail vom ... angekommen ist), then a deadline nudge (da der Termin naht, bitte ich um Rückmeldung bis ...), then phone plus mail (ich rufe Sie heute Nachmittag kurz an). Never open with reproach. Pressure hides inside deadlines, not adjectives.

How do you say no without burning bridges?

Use the sandwich I drill with every professional student: thanks plus reason plus alternative. Vielen Dank für Ihre Anfrage. Leider können wir den Termin nicht halten, da ... Wir schlagen stattdessen ... vor. Short, factual, with a door left open. If writing still feels shaky, train it in my German exercises before your next real deadline.

And if your job itself depends on certified German, check which certificate you actually need so your emails and your exam point in the same direction. Companies that train whole teams can look at our German courses for companies. The official exam formats behind those certificates are documented by telc if you want the primary source.

Frequently Asked Questions

Should I use Du or Sie in a German work email?

Start with Sie plus surname until you are explicitly invited to use Du. In traditional companies, banks and authorities, Sie stays the default for months. Startups often switch to Du on day one, so mirror what colleagues use with you. When unsure, Sie never offends, while a premature Du can. I teach you the exact switch phrases in my courses.

How long should a German business email be?

Five to eight sentences beat thirty. State your request in the first two lines, add only the context the reader needs, and close with one clear next step plus deadline. Long background stories belong in attachments, not the body. If your draft runs over 150 words, cut it in half. Short mails get faster replies in every office I know.

What should I put in the Betreff line?

One line with topic plus reference: Terminverschiebung Projekt Alpha, Rückfrage zu Rechnung 2048, Bewerbung Praktikum Marketing. Never leave it empty and never write only Hallo or Wichtig, which spam filters and busy managers ignore. A precise Betreff gets your mail opened first and found again months later. I show you ten proven patterns in the table above.

Conclusion: Steal My Kit and Write Tonight

You do not need talent for German business emails. You need five formulas and the discipline to reuse them. Copy the table above into a note, write your next real email with it, and notice how fast the fear disappears.
